Handling of Personal Information
Basic policy regarding the handling of personal information
Toyota Auto Body Co., Ltd. (hereinafter “the Company”) recognizes that compliance with the Act on the Protection of Personal Information and other related laws and regulations, and the appropriate handling of information held by the Company that can be used to identify individuals (hereinafter “personal information”), constitutes an important social responsibility of the Company and has therefore established the following basic policy on the protection of personal information.
1. Establishment of a personal information protection system
The Company shall ensure that all employees and executives understand the importance of protecting personal information, and establish a management framework to protect such information. Furthermore, the Company shall clearly document the rules on collecting, using, and disclosing personal information, and properly manage said information.
2. Acquisition of personal information
The acquisition of personal information by the Company shall be conducted through fair and legal means and users shall be informed of the purpose and scope of use of that information via notification or a public announcement. The personal information acquired by the Company refers to all such information provided directly by customers or disclosed by a third party (including personal information contained in audio, image, or video data).
3. Handling of personal information
Purpose of use
The Company shall not use personal information acquired in accordance with Section 2 above beyond the scope of the established purpose without the consent of the customer. The Company respects the rights of the customer regarding personal information and shall respond in good faith in accordance with the law when requested by the customer to disclose, correct, cease the utilization of, or delete personal information. The Company shall use the personal information it acquires for the following purposes:
• To provide business information concerning Toyota Auto Body products and services.
• To make improvements in product and service planning, research and development, and quality, as well as to diagnose failures and conduct surveys aimed at increasing customer satisfaction.
• For tasks that require swift support, such as answering customer inquiries.
• To take appropriate action, in accordance with either the law or with directives or instructions from the authorities.
• To share any of the information below, such as the phone number, documents, or electronic media, with Toyota dealers or partner companies as necessary to provide appropriate support to a person who contacts our customer support center. However, the Company shall cease sharing that information with Toyota dealers or partner companies upon customer request.
*Shared personal information: Name, address, age, phone number, and other information relevant to the customer’s inquiry.
* Any other purpose explicitly disclosed or communicated when the personal information was acquired.
Appropriate use of personal information
The Company shall not use personal information acquired in accordance with Section 2 above in any manner liable to encourage or induce illegal or wrongful actions.
Security control procedures for personal information
The Company shall take appropriate organizational, physical, and technical security control procedures to prevent improper access to personal information or its loss, destruction, alteration, leakage, and the like, and otherwise safely manage personal information. The Company shall also implement appropriate human resources security procedures, such as providing training and awareness activities on the protection of personal information for executives, employees, and anyone who handles personal information. Furthermore, when personal data is handled outside Japan, the Company shall implement appropriate security procedures based on a proper understanding of the relevant personal information protection laws and systems in the applicable country.
Sharing of personal information with third parties
The Company shall not provide personal information acquired in accordance with Section 2 above to any third party without first obtaining the consent of the customer, except as permitted under the Act on the Protection of Personal Information and other applicable laws and regulations. However, in cases where there is an urgent need to protect human life or human rights, or when cooperating with requests made by judicial authorities, the police, or other public institutions based on laws and regulations, or when otherwise required by law, the Company may disclose or provide such information without prior notice to the customer.
Management of outsourcing providers who handle personal information
The Company may share personal information acquired in accordance with Section 2 above with outsourcing providers to achieve the disclosed or communicated purpose of use. In such cases, the Company shall require the outsourcing provider to handle the provided personal information appropriately, and shall exercise proper management of such handling.
4. Measures taken in the event of an incident
In the event of a leak of personal information or related incident, the Company shall take appropriate action such as investigating the facts and causes and implementing measures to prevent secondary damage and reoccurrence.
5. Continuous improvement
The Company shall continuously engage in refining its measures to ensure that personal information is handled appropriately. The Company basic policy shall be updated to reflect these refinements as soon as they are made.
6. Items subject to disclosure
The Company shall provide information related to the use of personal information on its website in accordance with applicable laws and regulations.
7. Contact information
Customers can request the disclosure of their personal information, or records of provision to third parties, in accordance with the procedures prescribed by the Company. Use the contact points concerning the handling of personal information provided below if you wish to request disclosure of your personal information or records of provision to third parties. Our staff will explain the procedure required for disclosure. Use the same contact points concerning the handling of personal information for requests to correct, cease the use of, or delete your personal information, as well as for questions regarding the security control procedures concerning personal information. The Company shall respond to all types of inquiries in an appropriate manner and in accordance with the Act on the Protection of Personal Information.
